Privacy Policy
At Vision CI, protecting your personal information is not a formality — it is a responsibility we take seriously. This policy clearly explains what data we collect, why, and how we protect it, in accordance with Québec's Act Respecting the Protection of Personal Information in the Private Sector (Act 25) and the federal Personal Information Protection and Electronic Documents Act (PIPEDA).

In accordance with Act 25, Vision CI has designated a Privacy Officer. All questions, access requests, or complaints must be directed to this person.

Personal Information Collected
We collect only the information necessary for the purposes described in this policy. This information is provided voluntarily by individuals who contact us.
Via the contact form:
- First and last name
- Organization name
- Email address
- Phone number (optional)
- Description of your project or request
Via the AI Literacy Diagnostic tool:
- Self-assessment questionnaire responses (aggregated data)
- Email address (if provided to receive results)
Purposes of Collection
We use your personal information solely for the following purposes:
- Respond to your contact or information request
- Prepare and follow up on a meeting or engagement
- Deliver the results of your AI Literacy Diagnostic
- Comply with our legal obligations
We do not use your information for marketing purposes without your explicit consent.
Retention and Destruction
Your personal information is retained for as long as necessary for the purposes for which it was collected, or as required by applicable law.
- Contact requests with no follow-up: 12 months
- Information related to an active engagement: duration of engagement + 5 years
- Diagnostic results (no engagement): 6 months
Upon expiry of these periods, your information is securely destroyed or anonymized.
Disclosure to Third Parties
We do not sell, rent, or share your personal information with third parties for commercial purposes.
Your data may be transmitted to technical service providers solely in the context of delivering our services:
- Zoho CRM — contact request management (data hosted under Zoho Corporation's terms)
If data is transferred outside Québec, we ensure that the level of protection offered is equivalent to the requirements of Act 25, in accordance with section 17 of the Act.
Your Rights
In accordance with Act 25, you have the following rights with respect to your personal information:
Right of Access
Review the information we hold about you.
Right of Rectification
Request correction of inaccurate or incomplete information.
Right to Erasure
Request destruction of your information, subject to legal obligations.
Right to Portability
Receive your data in a structured, commonly used technological format.
To exercise any of these rights, contact our Privacy Officer at ivachon@visionci.ca. We will respond within 30 days.
Security Measures
We implement reasonable security measures to protect your personal information against loss, theft, unauthorized access, disclosure, or alteration.
- Access limited to those who need it to perform their duties
- Use of reputable platforms with data encryption in transit
- Periodic review of our security practices
In the event of a privacy incident presenting a serious risk, we will notify the Commission d'accès à l'information du Québec and the affected individuals, in accordance with Act 25.
Cookies
Our site uses only cookies essential to the proper functioning of its pages. We do not use advertising or behavioural profiling cookies.
You may configure your browser to refuse cookies, but some features of the site may not function properly as a result.
